SAP Ariba - Sourcing and Procurement
SAP Ariba is a family of SAP cloud products for the part of purchasing you run together with suppliers. Registration, sourcing events, contracts and catalog requests live in Ariba; orders, ship notices and invoices travel over SAP Business Network; stock and accounting stay in S/4HANA.

S/4HANA, SAP Ariba and Business Network overlap, so the first design decision is where each document is recorded.

Scope
What we cover in SAP Ariba projects
Registration and qualification
Supplier Lifecycle and Performance for self-registration, qualification questionnaires and performance tracking.
Sourcing events
RFIs, RFPs and auctions; S/4HANA RFQs sent to Ariba Sourcing and returned as supplier quotations (4BL, 4QN).
Contract workspaces
Contract management in Ariba Contracts, connected with Sourcing, Buying, Invoicing and Fieldglass.
Guided buying
Catalog and punch-out requests passed to S/4HANA as purchase requisitions through the managed gateway (2NV, 3EN).
Business Network messages
Orders, changes, cancellations, confirmations, ship notices and invoices; managed gateway setup and monitoring.
System of record table
A written decision on whether requests, RFQs, contracts, orders and invoices are mastered in S/4HANA or Ariba.
Current state
SAP Ariba: products, network link and supplier fees
- SAP Ariba is not one module: Sourcing, Contracts, Buying and Invoicing, Supplier Lifecycle and Performance and Intake Management are separate products. Scope starts with which ones you use.
- S/4HANA connects to the network natively, with no separate add-on according to SAP. Orders, changes, cancellations, ship notices and invoices flow both ways; confirmations work on-premise.
- Ariba Network joined SAP Business Network in 2021. Cloud Integration Gateway (CIG) is now the managed gateway for spend management and SAP Business Network; older documents still say CIG.
- Suppliers get a free standard account. Fees start once a supplier passes both 5 documents and USD 50,000 with one buyer in a rolling 12 months; transaction fees are capped per relationship.
Localization
Turkish e-documents and supplier data
Legal invoices come via GİB
Türkiye is not on SAP Ariba's e-invoicing list. A registered supplier's e-Invoice arrives via GİB and is matched to the order in S/4HANA; the network copy is not posted.
E-InvoiceA ship notice is not a waybill
A Business Network ship notice does not replace the waybill; a supplier under the mandate still issues an e-Dispatch note via GİB. Match both numbers at goods receipt.
E-Dispatch NoteSupplier contact data
Contact data is processed in the cloud. Transfers abroad fall under KVKK Article 9; a standard contract is notified to the Authority within 5 business days of signing.
From the field
What we often see in SAP Ariba projects
- RFQs and contracts live in two systems. S/4HANA's own RFQ and contract functions overlap with Ariba. Without one system-of-record table for requests, events, contracts, orders and invoices, the data drifts apart.
- The same invoice is posted twice. If the Business Network invoice and the GİB e-Invoice are both processed, duplicates appear. There is one legal channel; the other one gets a check that blocks posting.
- Invited suppliers never join the network. An invitation sent without explaining account types and the fee threshold comes back as a complaint. Spelling out what the standard account covers in the invitation answers most objections up front.
- Message errors sit in nobody's queue. The error waits in the network or the gateway while the buyer assumes the order went out. Interface monitoring needs an owner and a defined process in the support contract.
FAQ
SAP Ariba: common questions
What is SAP Ariba?
SAP Ariba is SAP's family of cloud products for sourcing, tendering, contracts, supplier management and purchasing. It is not part of S/4HANA but integrates with its purchasing side (MM). Orders, ship notices and invoices are exchanged with suppliers over SAP Business Network.
Is SAP Business Network the same as Ariba Network?
Not exactly. In 2021 SAP began moving Ariba Network suppliers to a new portal under the SAP Business Network name, while the transaction network behind it stayed on Ariba. Suppliers kept signing in with their Ariba Network credentials, and SAP documents still use both names side by side.
Can Turkish e-Invoices be sent through SAP Ariba?
Türkiye does not appear in the country lists of SAP Ariba's e-invoicing reference page (v1.9, 20 June 2025). Under VUK General Communiqué 509, registered taxpayers must send and receive invoices to each other as e-Invoices, so the legal invoice travels through GİB. In practice, treat the network invoice as an information copy and post the e-Invoice from GİB.
Do suppliers pay for SAP Business Network?
According to SAP Learning, the standard account is free. A supplier becomes chargeable once it passes both 5 or more documents and at least USD 50,000 of qualifying spend with one buyer in a rolling 12 months, and transaction fees are capped per trading relationship. Explain this threshold clearly in the supplier invitation plan.
Do we need SAP Ariba if S/4HANA already handles purchasing?
Not always. S/4HANA already has multi-supplier RFQs, purchase contracts and approval workflows, which are often enough for a single company with a limited supplier base. Ariba becomes relevant when you work with many suppliers over a network, want catalog-based guided buying or run auctions.
What sits between SAP Ariba and S/4HANA?
Orders, changes, confirmations, ship notices and invoices go to Business Network through S/4HANA's built-in interface, with no separate add-on. The managed gateway inside SAP Integration Suite sits in between. RFQ and requisition integration is set up through scope items such as 4BL and 2NV.
