Import and Export Package

For import processes in SAP MM and export processes in SAP SD

From purchase order to file closing on the import side, and from delivery to the export completion date on the export side, logistics, customs and accounting steps run inside SAP as one connected flow.

  • Loading, clearance, cost and invoice steps are managed from a single menu and cockpit screen
  • Customs and other import costs are allocated to purchase order items automatically
  • Export invoices post on the export completion date; proof of delivery runs in the background

The problem

The order is in SAP, the rest is in e-mail

In most companies the purchase order is created in SAP, but the steps from loading the goods to their arrival at customs, from the declaration to extra costs such as freight and insurance, are scattered across e-mails, spreadsheets and the customs broker's portal. That gap leads to a wrong landed cost when the goods enter the warehouse, exchange rate losses, and storage and demurrage fees for goods waiting at customs.

Flow

From order to customs, from customs to accounting

On the import side, purchasing, loading, clearance, invoice and goods receipt documents are linked to each other; on the export side, invoices, costs and outputs come together in a single export file.

Import · SAP MM

Import: from purchase order to file closing

Goods bought abroad start with import-specific purchasing documents. Loading, customs clearance, costs, reporting and file closing are all reached from a single import menu, and closing the file finalises the cost.

Module page: SAP MM - Materials Management

Cockpit report

Where are the goods right now?

The import cockpit report shows the current status of every import on one screen. The summary view gives the top-level picture; the detail view shows every field at item level.

  1. On order

Goods that have not shipped yet.

  2. In transit

Loading document created, goods on the move.

  3. In bonded warehouse

    Shipments waiting at customs.

  4. In temporary storage

    Goods held in temporary storage.

  5. Cleared through customs

Clearance document created, goods receipt pending.

  6. Goods receipt posted

    Goods whose process is complete.

Cost allocation

Six ways to allocate costs to items

Clearance, file and other import costs are posted as FI invoices; the system splits the amount across the related purchase order items using the selected method.

  • By quantityPO

Item quantities on the purchase order (PO) are used.

  • By quantityLoading

Quantities on the loading document are used.

  • By volume

Well suited to freight and logistics costs.

  • By valuePO

Net values of the purchase order items are used.

  • By valueLoading

Values on the loading document are used.

  • Equal split

Every item receives an equal share.

Step by step

Purchase requisition and purchase order

The process starts in SAP MM with a purchase requisition and a purchase order. The requisition uses an import-specific document type; the purchase order also gets an import-specific confirmation control key. These two markers separate imports from standard purchasing and make customs and cost tracking possible.

The requisition and the purchase order are the reference point for every later step.

Loading and clearance documents

Loading document
The first logistics step, recording that the goods have left the supplier. The bill of lading number, customs office, country of origin, currency and freight details are entered; items from the same vendor are processed in one go and a delivery is created.
Clearance document
The step in which the goods are actually withdrawn from customs. The purchasing document, material and quantity are checked; the system creates the delivery needed to receive the goods into the warehouse.

For high volumes, both documents can be created in bulk from Excel:

  1. The system template is downloaded with the "Sample file" button.
  2. Fields such as document number, reference document and item, quantity, date and currency are filled in.
  3. The system validates required fields and formats and reports an error for any faulty row.
  4. A document number is generated automatically for every valid row.

Invoices: goods value, costs, down payments and exchange differences

The goods invoice records the base cost of the goods; clearance and file costs and other import expenses are posted from the same screen as FI invoices. Once the invoice number, date and amount are entered, the related purchase order items are brought in automatically. Posting creates the accounting document and allocates the cost to the items. Down payments and exchange rate differences are recorded on the same screen.

Invoice display
Shows how much of each invoice went to which purchase order item, along with the accounting document.
Invoice reversal
A wrong invoice is never deleted; it is reversed, leaving an audit trail.
Invoice report
Shows invoice by invoice whether each one is open, closed or reversed.

Goods receipt: three options

After the clearance document, the cleared quantity is entered in the storage quantity field and the goods receipt is posted. The system updates stock and creates a material document.

Post to blocked stock
Used when the goods must wait for quality inspection or be held at an interim location.
Release to unrestricted stock
Once accepted, goods move from blocked to unrestricted stock and can be used immediately.
Directly to final storage
The goods go to their final storage location in one step, with no interim handling.

File closing and its reversal

File closing is the last step, done once loading, clearance, goods receipt and invoicing are complete. The system lists the FI invoices of completed loading and clearance documents; for the selected lines, a posting date and document date are entered and an MM accounting document is created. All costs of the import file are finalised this way.

A closed file can be reopened with a reversal: the closing document is not deleted, a new reversal document is created and the audit trail is preserved.

Return to origin (mahrecine iade)

Return to origin sends goods that have not been cleared back to the supplier. It starts when the goods are rejected at customs or in quality inspection, the wrong product was shipped, or the import cannot be completed for commercial or cost reasons. If an invoice has already been posted, the reconciliation and return steps must be completed for the process to close correctly.

  1. A purchase requisition is created.
  2. A purchase order is created.
  3. A loading document is prepared.
  4. The goods invoice and any cost invoice are posted.
  5. The decision to return the goods is made and an import return document is created (logistics close).
  6. The return is posted on the return-to-origin reconciliation screen (financial close).
  7. The purchase order item is marked “Completed”.

Configuration: what is set up during implementation?

The import process cannot start until these settings are in place; document types, cost accounts and screen behaviour are defined in the configuration screens. Each company code is configured separately, so a setting for one company does not affect another.

The company code parameters also decide whether clearing more than was loaded, and posting a goods receipt above the cleared quantity, are allowed; the latter is usually kept off to protect stock accuracy. The document types screen only maps: the delivery types themselves are created separately in standard SAP.

Export · SAP SD

Export: from delivery to the export completion date

Even after the goods leave the warehouse, the selling company remains responsible for them until customs approves the export and the export completion date (intaç date) is set. The package tracks this window as stock in transit; invoices, costs and outputs come together in an export file opened against the invoice.

Module page: SAP SD - Sales & Distribution

Stock in transit (SIT)

SIT: the goods are on the way, the sale is not complete yet

SIT tracks stock in value and quantity between the warehouse exit and the export completion date. The goods physically leave and move to a transit location; the export is officially complete only on the completion date.

Once the export completion date is entered and the invoice is posted, proof of delivery (POD) and removal of the block happen automatically; nobody has to open the proof of delivery screen.

Outputs

Export documents from a single screen

Once the output settings are configured, every export-related document is printed from the change and display screens of the export file.

  • Proforma invoice

Sends the customer the sales order opened against their order request; a preliminary invoice issued before the actual one.

  • Packing list

How the goods are packed, the total number of pallets, the means of transport, and net and gross weights.

  • Bill of lading

Issued for sea freight; on top of the packing list it carries the carrier and the ports of loading and discharge.

  • Commercial invoice

The Turkish invoice issued in English, including its document number: exporter, importer, goods description, unit and total amounts.

Step by step

Export package flow: 10 steps

The export package menu brings together the steps and settings used in the export process. Entering the export completion date creates three postings on its own; costs can be entered at any time once the file is open and are completed before the file is closed.

  1. Export sales order
  2. Delivery creation
  3. Moving the goods into stock in transit
  4. Creating a blocked SAP invoice
  5. E-invoice process
  6. Creating the export file
  7. Entering the export completion date in the fileCreated automatically:
    • Cost of goods sold (COGS) postings
    • Actual goods issue for the delivery
    • Posting the invoice and recognising revenue
  8. Entering and posting export costs
  9. Closing the file
  10. Reports

The export file and the completion date

The package starts working when an export file is opened against an invoice. Different file types can be used, and file numbers can be assigned internally or externally. Data is kept in two parts, header and item, and the file can still be changed after it is created. Customs codes, payment methods, shipment methods, border gates and partners are defined in configuration.

Customs

  • Customs code
  • Export declaration (GÇB) number and date
  • Incentive number
  • Border gate
  • Export completion date

Transport

  • Departure and destination
  • Shipment method
  • Licence plate
  • Flight number
  • Vessel name and voyage number
  • Incoterms

Payment

  • Payment method and terms
  • Bank and IBAN
  • Letter of credit (LC) number

Measures and amount

  • Gross and net weight
  • Volume
  • Number of packages
  • Total amount

When the completion date is entered and the invoice is posted, proof of delivery runs automatically, the billing date moves to the completion date, the accounting block is lifted and an accounting document is created with the completion date as its posting date. When the work is done, the file is closed so that later changes cannot cause errors; the file tracking report keeps the process visible.

Costs: cost type, allocation rule and tax code

Cost document types run through invoices; posting a cost creates an accounting document, as either a credit memo or an invoice. Configuration defines the cost types and the accounts they post to; an allocation rule is chosen per cost type and a tax code is entered for posting.

1 · Cost type

  • Freight
  • Customs
  • Commission
  • Insurance
  • Other

2 · Allocation rule

  • By volume
  • By weight
  • By quantity
  • By invoice amount
  • Equal split

3 · Posting and tax

  • Tax code
  • Account selection
Cost entry
Per invoice or per file; several invoices can be handled at once.
Cost display
The resulting accounting documents are checked.
Cost reversal
An entered cost is reversed.

Who it is for

Who needs it most?

The package is in use in sectors such as automotive suppliers, textiles and machinery manufacturing. Seeing import cost per item matters most to these four profiles.

Why this package

What changes with the package?

On imports

  • Loading, clearance, costs and invoices are managed in one structure, keeping the process intact.
  • Customs costs are calculated and allocated to purchase order items automatically.
  • Exchange differences, down payments and returns are tracked under separate transaction codes and stay auditable.
  • Purchasing, loading, clearance, invoice and goods receipt documents are linked, so the file can be traced end to end.
  • File closing finalises the process operationally and financially, leaving no open obligations.
  • On returns, the logistics and financial close can happen at the same time.

On exports

  • Customs and logistics are handled as a whole and managed from a single cockpit screen.
  • Customs duties and other costs are calculated and reported.
  • The export completion date and the additional information customs needs are tracked in the file.
  • Export-related documents are printed from a single screen.
  • Export-specific accounting and SD document updates run in the background, so the proof of delivery screen is no longer needed.

Setup

Setup and rollout

The package runs inside SAP, next to the standard processes, and is set up like any other SAP customising.

Technical frame

SAP release
Runs on SAP_BASIS 7.40 and higher: SAP S/4HANA on-premise, SAP S/4HANA Cloud Private Edition (new name: SAP Cloud ERP Private) and RISE with SAP. For releases below 7.40, SAP R/3 and SAP S/4HANA Cloud Public Edition (new name: SAP Cloud ERP), the package is rewritten.
Setup
Added to SAP as a package and set up through customising screens like the standard processes; it does not run on SAP BTP. It uses the standard SAP MM, SAP SD and SAP FI processes.
Rollout
For the standard scope, rollout takes 4-6 weeks and roughly 15-25 consultant days.

Common questions

Frequently asked questions

Why this package when there is SAP GTS and standard SAP S/4HANA?

SAP S/4HANA's own international trade component classifies products with customs tariff and Intrastat codes and keeps the foreign trade data on documents. SAP Global Trade Services (SAP GTS) is a separate SAP product connected to SAP S/4HANA; it handles compliance work such as sanctioned party screening, embargo and licence checks, and the customs declaration. The package covers what neither of them does: posting on the export completion date, allocating export costs per file and checking the file at closing. So it does not replace either one; it works alongside both without overlap. We also consult on SAP GTS projects.

How do the customs declaration number and the completion date get into the package?

They are entered by hand in the header of the export file, based on the declaration data from the customs broker; the export completion date the same way. If you want, feeding this data automatically from the broker's system or from BİLGE, the Turkish customs system, by file or service can be developed within the project.

Does the package track inward processing authorisations (DİİB)?

The incentive number field in the package keeps only the number of the inward processing authorisation (DİİB) as a reference. Quantity deduction, commitment tracking and closing the authorisation are not in the standard scope; they can be developed per project if needed.

Does the package manage letters of credit?

No. The letter of credit field keeps only the reference number; opening, maturity, collateral and bank charge tracking are outside the package. Bank charges can only be entered as a cost type. In SAP S/4HANA, letters of credit run in the Trade Finance component of SAP TRM, linked to the sales documents.

How is freight handled, and is it transferred from SAP TM?

Freight is entered by hand in the package with the freight cost type. Because costs can also be entered per shipping document, freight can be linked to the related shipping document. Automatic transfer from freight settlement in SAP TM is not in the standard scope; it can be developed per project.
